Never mind...can't link tables cause they will already be linked to the back-end of the current database.

Seems like a good application for replication.

the record info to also update/create in another db. So I need some code
that will check to see if the record exists in the other db, if not, create
a record, and then populate those fields that are shared between the two
databases (so that I only have to enter data in the main db). Make sense?
I'm thinking I need to use some Automation function or Shell??? But I'm new
to VBA so I don't know where to begin and can't find any code that seems to
do what I need. Thanks!!!

Thanks, Solex. Wouldn't replication simply duplicate the structure and data of the current db though? The second db that needs populating is entirely different than my main db. Essentially, we are building a db to use in-house but also have federal govt-mandated data we have to submit using their db. Some of the data is shared between the 2 db's but we only want to have to enter it in our in-house version and have it populate the federal db. Thanks!

Just a suggestion but what about writing a series of queries that populate
the database Fed DB but only when you need to submit the Fed DB and don't
worry about trying to maintain identical data real time.

Hadn't thought of that option. I would need to update the fed db in real time though because we would ocassionally need to go in and add additional data that's not captured in our in-house db. But I could make queries do it in real time, right? And do you think replication would work even though the db's are different? Thanks so much for your help! I'm new at this advanced Access stuff so need all the help I can get.

I just did a quick check and it appears that replication will work and you
can add tables to the replica but cannot modify the replicated tables, you
might want to do more research on this front if you which to persue it.

In the other approach I suggested you could run your queries prior to
modifying data in your fed datbase.

My question is where does this extra data reside in the fed database? Is it
in modified tables that you fill with data from your prod data or is it in
separated tables (the latter being the better choice)

To build on my original suggestion why not have all of the tables in one
database and when you are ready to transfer the data to the feds run a few
queries that create the fed database.

I believe that the last option is probably best.
